1. Who we are

Cleenie ("we", "us", "our") is a software platform for cleaning businesses, operated by Cleenie Ltd. We are the data controller for the personal data we hold about you.

2. What personal data we collect

We collect and process the following categories of personal data:

  • Account information: name, email address, phone number, business name
  • Team member information: name, email, phone number, hourly rate, availability
  • Customer information: name, email, phone, service addresses, job history, notes
  • Billing information: subscription plan, payment status (card details are handled directly by Stripe and never stored by us)
  • Usage data: login times, actions taken within the app, IP addresses
  • Communications: emails sent through the platform, job updates and notes

4. Who we share your data with

We share personal data with the following third-party processors only where necessary to provide our service:

  • Stripe — payment processing. Your card details go directly to Stripe; we only receive billing status. Stripe Privacy Policy
  • Resend — transactional email delivery. Recipient email addresses and email content are passed to Resend to deliver notifications. Resend Privacy Policy
  • Cloudflare — bot protection on our sign-up form. IP addresses and browser signals are processed by Cloudflare Turnstile. Cloudflare Privacy Policy
  • Neon / PostgreSQL — our database is hosted on Neon's infrastructure within the EU/UK.
  • PostHog — product analytics. Anonymised usage data (page views, feature interactions) is sent to PostHog's EU-hosted infrastructure. No customer names, job details, or payment data are included. PostHog Privacy Policy. Legal basis: legitimate interests (improving our service).

We do not sell your personal data to any third party.

5. How long we keep your data

  • Active accounts: data is kept for as long as your account is active.
  • After cancellation: your data is retained for 90 days so you can reactivate, then deleted.
  • Billing records: we may retain transaction records for up to 7 years to meet financial and legal obligations.

6. Your rights under UK GDPR

You have the following rights regarding your personal data:

  • Right of access — request a copy of the data we hold about you
  • Right to rectification — ask us to correct inaccurate data
  • Right to erasure — request deletion of your data (subject to legal retention obligations)
  • Right to restrict processing — ask us to pause processing your data
  • Right to data portability — receive your data in a machine-readable format
  • Right to object — object to processing based on legitimate interests

To exercise any of these rights, email us at support@cleenie.co.uk. We will respond within 30 days. You can also submit a deletion request directly from your account settings.

If you are unhappy with how we handle your data, you have the right to complain to the Information Commissioner's Office (ICO).

7. Security

We use industry-standard security measures including encrypted connections (HTTPS), hashed password storage, and role-based access controls. We never store payment card details.

8. Cookies

We use a session cookie to keep you logged in and, if you choose "Remember me", a longer-lived authentication cookie. We also use a first-party product analytics cookie (ph_*) set by PostHog to understand how the platform is used. We do not use advertising or behavioural tracking cookies. 9. Changes to this policy

We may update this policy from time to time. We will notify you of significant changes by email or by a notice within the app. The date at the top of this page shows when it was last updated.
